Book business travel
This page walks through booking business travel. The spending limits come from POL-FIN-002 (current version v2, effective 2025-07-01).
Before you book
- Agree the trip and its purpose with your manager.
- Check the limits below, so you do not book something that will not be reimbursed.
- Where you can, book flights at least 14 days ahead; earlier bookings are usually cheaper.
Spending limits
| Item | Limit |
|---|---|
| Meals | $75 per day |
| Hotel | $220 per night |
The meal limit was $60 per day in version 1 of the policy. An old wiki draft, Expenses quick guide, still shows $60; it is out of date and the policy wins.
Who approves what
| Total claim | Approver |
|---|---|
| Up to $1,000 | Your manager |
| $1,001 to $5,000 | Finance Controller (Dan Whitfield) |
| Above $5,000 | CFO (Priya Raman) |
See Approval limits for the full list of company approvals.
After the trip
- Submit your claim within 30 days of the trip; see Submit expenses.
- Attach receipts. Receipts are required for items over $25.
- Claims are paid by Accounts Payable (Kavya Menon).
Customer travel
If a customer will reimburse the travel, say so in the claim and name the project, so it can be invoiced; see Invoice a customer.
