Request access
Use this page to get access to systems, repositories, shared folders and document collections. Access is granted under SOP-IT-003 (Access Provisioning) and the principles in POL-IT-003.
Service levels
- Access is provisioned within 1 business day of an approved request.
- Access reviews are held every 6 months; access that is no longer needed is removed.
New hires get standard access on day one without a request, see New hire onboarding.
How to request
- Open a request on the service desk portal, choose "Access request".
- Give the system or folder, the access level (read, write or admin), the business reason, and how long you need it.
- Select your manager as approver. For sensitive systems an additional approver is required (see below).
- Wait for approvals. You will receive an email at each step.
- IT provisions the access within 1 business day of approval.
- Test the access and close the ticket. If it does not work, reply on the ticket.
Who approves
| Access to | Approver |
|---|---|
| General tools, project folders | Your manager |
| Finance systems and the Finance folder | Dan Whitfield (Finance Controller) in addition to your manager |
| HR confidential records | Sofia Lindqvist (Chief People Officer) |
| Contracts and Legal folders | Marcus Webb (General Counsel) |
| IT security tools | Erin Oduya (IT Security Manager) |
| Customer environments | Delivery manager for the account |
Groups
Documents and systems are grouped by who may see them: exec, legal, finance, it, hr and all. Most staff are only in "all". Membership is changed through a request, not by sharing links. For example, the Support Lead (Bob Kessler) is in the "all" group only and does not see Finance or Contracts material.
Rules
- Request the least access you need.
- Temporary access should have an end date.
- Never share your account; ask for your own access.
- MFA is mandatory for all accounts under POL-IT-003, see Password manager and MFA.
- Remote access needs the VPN.
When people leave or change roles
Managers must raise a request to remove access when someone leaves or moves team. The six-monthly access review also checks for this. Access to customer environments, for example on the Acme Corp project, should be removed when the engagement closes.
Urgent requests
If access is blocking a customer deliverable, mark the ticket urgent and message the service desk. Urgent does not skip approval. If the issue is an outage rather than missing access, use Report an incident.
